Crew Change

Crew change

Nine steps, one case file, continuous visibility for owners and manning agents.

A failed crew change costs a vessel day. Our agents take charge of the seafarer as they step off the aircraft and stay with them until the gangway — transfers, immigration, hotel and port clearance included.

How a rotation unfolds

Each step is timestamped and visible to the owner and the manning agent.

  1. Request received

Vessel, port, dates and crew list are recorded. A case reference is issued and an agent is assigned.

  2. Documentation checked

Passports, seaman books, visas, letters of guarantee and vaccination records are verified before anyone books a flight.

  3. Flight confirmed

Itineraries are cross-checked against the vessel's ETA. Connection times are reviewed for the rainy season.

  4. Airport assistance

An identifiable agent waits in the arrivals hall, tracks the flight and handles baggage.

  5. Immigration

Shore passes and entry formalities are completed with the authorities, with no informal arrangements.

  6. Road transfer

A WESTPORTS vehicle and driver take the crew to the hotel or directly to the port area.

  7. Port clearance

Access authorisations and port formalities are secured in advance, not on the morning itself.

  8. Vessel transfer

Boat transfer to the vessel at anchorage or escort to the gangway alongside.

  9. Onboard

Embarkation confirmed, off-signing crew collected, the case is closed with its full timeline.
